These Terms & Conditions govern all accommodation bookings made with Villas Flamingo and form an integral part of the accommodation contract between the guest and Villas Flamingo. By confirming a reservation, the guest acknowledges that they have read, understood, and accepted these Terms & Conditions on their own behalf and on behalf of all members of their party.
By making a reservation, the guest enters into a legally binding accommodation contract with Villas Flamingo for the specific property, dates, and number of guests indicated in the booking confirmation. The guest is responsible for ensuring that all information provided at the time of booking is accurate and complete and for communicating these Terms & Conditions to all members of their party. Failure to comply with these Terms & Conditions may result in the immediate termination of the stay without refund and may give rise to additional charges.
Accommodation prices are final and are calculated based on the property selected, the number of guests, the length of stay, and the applicable season. Rates may vary according to availability, special offers, and local demand, and the price confirmed at the time of booking is the price applicable to that reservation.
Unless otherwise stated in the booking confirmation, rates include:
Bed linen and towels for the number of registered guests;
Water, electricity, TV, and internet services;
VAT at the legally applicable rate.
Any additional services may be subject to extra charges, which will be communicated and agreed upon in advance.
In accordance with local regulations applicable in the municipality of Loulé, a Municipal Tourist Tax is charged per person, per night, in all tourist establishments and local accommodation properties. This tax is not included in the accommodation rate and must be paid upon arrival.
The tax applies for a maximum of 5 consecutive nights per person, per stay, at the following rates:
From 1 November to 31 March: €1 per person, per night (up to 5 consecutive nights);
From 1 April to 31 October: €2 per person, per night (up to 5 consecutive nights).
Children under 16 years of age are exempt from this tax. The guest is responsible for providing accurate information regarding the age of all guests in order to allow the correct calculation of the amount due.
Standard check‑in time is from 16:00, and check‑out must be completed by 11:00 on the day of departure. Guests must respect these times to allow proper cleaning and preparation of the property for incoming guests.
Early check‑in or late check‑out may be offered, subject to prior request, availability, and written confirmation from Villas Flamingo. Additional charges may apply. If the guest fails to vacate the property by the agreed check‑out time without prior authorization, Villas Flamingo reserves the right to charge an additional fee, which may correspond to up to one extra night, and to remove personal belongings in accordance with applicable law.
The guest may cancel the reservation free of charge up to 60 days before the scheduled check‑in date. Any amounts already paid will be refunded using the same method of payment, unless otherwise agreed.
If the cancellation is made less than 60 days before the check‑in date, the total reservation amount is non‑refundable. In the case of no‑show (failure to check in on the scheduled date without prior notice), the reservation will be considered cancelled, and no refund will be due.
If, due to force majeure or circumstances beyond the reasonable control of Villas Flamingo (such as serious damage to the property, safety issues, or legal restrictions), it becomes impossible to honour the booking, Villas Flamingo may cancel the reservation. In such cases, the guest will be informed as soon as possible and offered either an alternative equivalent accommodation, where available, or a full refund of the amounts paid, with no further compensation.
If the guest wishes to make changes to the original reservation (including, but not limited to, changing the property, check‑in date, check‑out date, or number of guests), they must submit the request by email. Villas Flamingo will make reasonable efforts to accommodate the requested changes, but all amendments are subject to availability and may result in a price adjustment.
If the requested changes are not possible or not accepted by the guest, the original reservation and applicable cancellation policy will remain in force. Certain types of reservations (such as non‑refundable or promotional rates) may not allow changes or may only permit them under specific conditions to be communicated at the time of booking.
A security deposit is required for all stays, with an amount between €500 and €1.000, depending on the property and characteristics of the reservation. The exact amount will be communicated at the time of booking or in the booking confirmation.
The security deposit must be paid no later than 7 days before check‑in, via bank transfer or PayPal. Property keys or access codes will only be released after full receipt and confirmation of the deposit. Failure to pay the deposit within the indicated deadline may result in cancellation of the reservation without any right to refund of the accommodation amount, depending on the applicable cancellation conditions.
The security deposit is intended to cover any potential damage to the property, its furniture, equipment, or common areas, as well as losses, special cleaning, rule violations, or complaints arising from negligent or inappropriate behaviour by the guest or any member of their party. In case of suspected or reported damage or rule breach, Villas Flamingo reserves the right to temporarily withhold the deposit, in whole or in part, until a full assessment is completed and any costs are duly quantified.
If it is confirmed that the guest (directly or indirectly) caused damage, losses, or costs (including extraordinary cleaning or intervention of third parties such as security services), Villas Flamingo may permanently retain the portion of the deposit necessary to cover such amounts and may seek additional compensation if the damages exceed the deposited amount.
After check‑out, the property will be inspected. If no repairs, replacements, or special cleaning are required and no outstanding amounts remain, the security deposit will be fully refunded within 5 to 10 business days, using the same payment method whenever possible.
To ensure the comfort, safety, and well‑being of all guests and neighbours, the following House Rules apply to all properties managed by Villas Flamingo:
Smoking is strictly prohibited inside the properties.
Quiet hours must be respected between 22:00 and 08:00. Excessive noise, loud music, or any behaviour that may disturb neighbours or violate local noise regulations is strictly forbidden.
Parties, events, or similar group celebrations are not permitted under any circumstances, unless expressly authorized in writing by Villas Flamingo in advance.
Pets are not allowed on the property.
Reservations from guests under the age of 25 are not accepted. At least one guest named on the reservation must be 25 years old or older and must be present throughout the stay.
Group bookings (such as hen/stag parties or similar groups) are not accepted, unless expressly authorized in writing by Villas Flamingo under specific conditions.
Only guests included and registered in the reservation are allowed on the property (indoors and outdoors). Visitors or additional guests are not permitted without prior express authorization from Villas Flamingo and may be subject to additional charges or to the immediate termination of the stay.
In the event of a breach of any of these House Rules, or any inappropriate, dangerous, illegal, or disruptive behaviour by the guest or any member of their party that may jeopardize the safety or well‑being of others, cause damage to the property, or disturb neighbours, Villas Flamingo reserves the right to immediately terminate the stay. In such cases, guests must leave the property immediately, without any right to refund, and may be held liable for any resulting damages or costs.
The guest undertakes to use the property, furniture, equipment, and facilities with care and diligence and to leave the property in a reasonable state of cleanliness and organization at check‑out. Any problems, damage, or malfunctions must be reported to Villas Flamingo as soon as they are detected, so that appropriate measures can be taken.
The guest is responsible for all members of their party and for any visitors authorized by Villas Flamingo, including ensuring compliance with these Terms & Conditions and House Rules. Loss of keys, access cards, or remote controls may result in additional charges to cover replacement or emergency interventions (such as lock changes).
Villas Flamingo is not liable for loss, theft, or damage to personal belongings of guests, whether occurring inside the property, in outdoor areas, or in parking areas, except where such liability cannot be excluded under mandatory law. Guests are encouraged to ensure that doors and windows are properly locked when leaving the property and to take normal precautions regarding their personal property.
These Terms & Conditions and any accommodation contract entered into with Villas Flamingo are governed by Portuguese law. Any dispute arising from or related to these Terms & Conditions, the booking, or the stay may be submitted to the competent Portuguese courts, without prejudice to the guest’s right to resort to alternative dispute resolution entities where applicable.
